How eWay Bill Automation Saved 100+ Hours Monthly for a Transport Company

The Problem: 140 Hours Lost to Manual Data Entry

The client, a mid-size transport company running 85 trucks out of India, covers routes across Rajasthan, Gujarat, and Maharashtra. Like most mid-size transporters, they were handling eWay Bills the old way. A team of three people would log into the NIC portal, manually enter consignment details, generate bills, and then communicate the EBN (eWay Bill Number) to the driver via WhatsApp.

When we first sat down with the client's operations head, the numbers were eye-opening. Each eWay Bill took roughly 8 to 12 minutes to generate manually, including data entry, verification, and communication to the driver. With 15 to 20 consignments per day, that was 2 to 4 hours of pure data entry work daily. Over a month, their team was spending approximately 140 hours just on eWay Bill management.

And that was just generation. They also had to track expiries, extend bills for delayed shipments, handle Part-B updates when vehicles changed, and manage cancellations. Each of these tasks required someone to log back into the portal and make manual edits.

The Hidden Cost of Manual eWay Bills

The time cost was visible. The penalty cost was not, at least not until it hit them. In the six months before switching to MobiSafe, the client had paid a total of 2.8 lakh rupees in penalties related to eWay Bill violations. Most of these were expired bills. A truck gets delayed by a day at a toll check, the eWay Bill expires during transit, and the driver gets stopped at the next checkpoint. The penalty is the tax amount or ten thousand rupees, whichever is higher.

One specific incident stood out. A consignment worth 14 lakh rupees was headed from India to Pune. The truck broke down near Udaipur. By the time it was repaired and back on the road, the eWay Bill had expired. Nobody in the office noticed because the person tracking expiries was handling 60 other active bills. The penalty was 28,000 rupees.

What MobiSafe Changed

We integrated the client's vehicle management system with automatic eWay Bill generation through the GST network API. Here is what the new workflow looks like.

When a new consignment is booked in their TMS (Transport Management System), the relevant data flows into MobiSafe. Our system pre-fills the eWay Bill form with vehicle number, transporter GSTIN, origin, destination, and consignment value. The operations person just reviews and clicks generate. What took 10 minutes now takes under 90 seconds.

But the bigger win was in expiry management. MobiSafe tracks every active eWay Bill against the vehicle's GPS location and estimated time of arrival. If our system detects that a truck is unlikely to reach its destination before the eWay Bill expires, it sends an alert 6 hours in advance. The operations team can extend the bill with two clicks, right from the MobiSafe dashboard.

The Numbers After Six Months

We tracked the client's metrics for six months after implementation. The results were clear.

Time spent on eWay Bill management dropped from 140 hours per month to 28 hours. That is an 80 percent reduction. Two of the three people who were dedicated to this task were reassigned to customer service and dispatch coordination.

Penalties dropped to zero. Not a single eWay Bill violation in six months. That is a saving of roughly 2.8 lakh rupees on an annual basis compared to their previous average.

Part-B updates, which used to require manual portal entry whenever a vehicle number changed, are now automatic. When the client reassigns a consignment to a different truck in MobiSafe, the Part-B update happens through the API in real time.

Implementation Timeline

The full implementation took 18 working days. The first week was spent on API integration with the client's existing TMS. The second week was testing with live consignments in parallel with their manual process. By the third week, they were confident enough to switch over completely.

The API integration required the client's GSTIN, their NIC API credentials, and some configuration mapping their product HSN codes to the eWay Bill format. Nothing particularly complicated, but it does need someone who understands both the GST network API and the transporter's data structure.

What the Client Says Now

The operations head told us six months after go-live: "The eWay Bill thing used to give me headaches every single day. Now I do not even think about it. The system handles generation, tracks expiry, and alerts us before anything goes wrong. We have not paid a single rupee in penalties since we switched."

The ROI math is straightforward. MobiSafe costs the client roughly 76,000 rupees per month for their 85-vehicle fleet (including GPS tracking, eWay Bill automation, and all other features). The eWay Bill automation alone saves them over 2 lakh per month when you count labor reallocation and penalty avoidance. That is a payback period of under two months.
